  • Some customers order for other stores too, and put that store's name on the Bill To.
  • ShelfSpace spots those invoices and offers to give each store its own account.
  • Each store account gets its own invoices, its own contact, and its own reminders.
  • Invoices that don't name another store stay on the customer's own account.
  • Nothing is sent to any store when you turn this on, and you can turn it off any time.

Why Store Accounts?

Say a customer, Northside Supply Co., buys from you for itself and for two other stores. Every invoice lands on Northside's account, so every reminder goes to one person at Northside, who doesn't pay the other stores' bills. With store accounts, each store's invoices and reminders go to the store that actually pays them.

How ShelfSpace Spots It

The Bill To line on an invoice says who the bill is for. When a customer's invoices name a different store there, the customer's page shows a card that says so, with the number of invoices that name another store, and a Review stores button. Nothing changes until you look and confirm. If the customer really is one business, open the ... menu on that card and choose that it doesn't buy for other stores, and we won't ask again.

Turn It On in Three Steps

  1. Stores we found. Each store gets its own row: the invoices that would move to it, with their dates, and the total. Below that you see what stays on the customer's account (no other store on the Bill To) and anything that can't move, with the reason. An invoice that's already sent, paid, on a payment plan, or has a payment in progress never moves. If one store is written two ways, pick Same store as... so both spellings share one account.
  2. Confirm. One sentence tells you what moves, in dollars, and what stays. Invoices that move keep their status, and you still review and send them as usual. Click Turn on store accounts.
  3. Add contacts. A new store account starts with no contact, so it can't get reminders yet. Add the email of whoever pays the bills at each store, now or later.
No contact, no reminders. Until a store account has a contact, ShelfSpace doesn't send it reminders. The store list on the customer's page shows Add contact next to any store that still needs one.

Your Store Accounts

Back on the customer's page, a card lists every store the customer buys for, with what each one owes, its sales rep, and whether it has a contact yet. Click a store to open its own page.

When a Later Invoice Names a Store

A new invoice can still land on the customer's own account even though its Bill To names one of the stores. It shows up on the customer's page under Names a store but is on this customer's account. One click moves it to that store's account. If it names a store that doesn't have an account yet, click Give it its own store account. You can also move one invoice to another store, or back to the customer, from the ... menu.

Turn It Off

Choose Turn off from the ... menu on the store list. Before anything happens you see which invoices go back to the customer's account and which stay where they are (already sent or paid). You can turn store accounts on again any time.
