At a Glance

  • Send invoices from Outlook or Gmail: connect your company Microsoft 365 or Google Workspace mailbox and your ShelfCollect invoices and payment reminders go out from it
  • The connection is send-only. ShelfSpace can send as you but can’t read your mail
  • What sends, and when, doesn’t change. Store replies still reach your AR assistant
  • If the connection stops working, mail goes out from ShelfSpace’s billing address until you reconnect
  • Personal @gmail.com and Outlook.com accounts can’t connect. Use your company mailbox

Why send invoices from your own mailbox

When you send invoices from Outlook or Gmail through ShelfSpace, stores see a name they already know instead of a billing address. An invoice from your AR lead gets opened and paid faster than one from an address the buyer has never seen. Only the From line changes. Your reps still decide what goes out, and the ShelfCollect schedule for invoices and reminders stays the same.

The connection covers invoices you send (one at a time or in bulk), statements, recurring invoices, payment reminders and the “send again” button. Messages from your AI assistant still come from ShelfSpace, because an AI reply shouldn’t carry a real person’s name.

Connect your Outlook or Gmail mailbox

  1. Sign in at ourshelf.space as an owner or accounts-receivable admin.
  2. Go to My Account and open Send from your own mailbox.
  3. Click Connect Outlook or Connect Google Workspace and sign in with your work account.
  4. Approve the request. Microsoft shows it from ShelfSpace Technologies Inc. with a blue verified badge. Google asks you to allow ShelfSpace to send email on your behalf. Tick that box, and choose ongoing access if Google asks.

Pick the person who connects with care. Stores see that person’s name, so it should be someone who will stay with the company and keep their account.

A new address waits 72 hours. If the mailbox is new to ShelfSpace, nothing sends from it for 72 hours, and every admin on your account gets an email. If it wasn’t you, disconnect and nothing ever went out.

If your IT team has to approve it

Some companies only let IT approve outside apps. If Microsoft says Need admin approval, or Google says the app is blocked, go back to the card and click Copy note for IT. Send the note to your IT person. It says exactly what to approve. They approve ShelfSpace once for the whole company, then you click Connect again to finish. Until then your invoices keep going out from the billing address, so nothing stops.

Send as a shared mailbox (Outlook)

On Outlook you can send from a shared address like ar@yourcompany.com instead of your own. Your IT team needs to give you Send As permission on that mailbox. “Send on Behalf” isn’t enough. Enter the address under Send as a shared mailbox and click Save and send me a test. Open the test and check that it doesn’t say “on behalf of.” The shared address has to be on your company’s email domain.
