The Setup

A wholesale brand had open invoices at stores across its state, and some of them were well past due. Following up was one more job for a team that is there to sell.

That's the usual setup, and it has the usual result. Reminders go out when someone remembers. The awkward ones don't go out at all, because nobody wants to chase a buyer they're about to pitch.

What We Did

The brand connected QuickBooks. We loaded its open invoices, matched them to Metrc, and took over the follow-up.

28

invoices sent with a Pay Now link

94

payment reminders sent

2 weeks

from handoff to 94 reminders

Every message went out under the brand's name. The store saw its own vendor following up, the way a well-run AR department would, not a collection agency.

How It Works

1

Send the invoice with a Pay Now link

One link for the balance. No login, and the store pays from its own bank.

2

Follow up on a steady schedule

Reminders go out on a set cadence, oldest balances first, so nothing sits unasked.

3

Stop the moment it's paid

When the payment lands, the reminders stop on their own and QuickBooks is updated.

Each sales rep can also get a list every Monday of who owes what on their accounts, so the person who made the sale can ask in person. That's part of ShelfCollect, along with interest-free installments for a store that can't clear it all at once.

What This Doesn't Prove Yet

Two weeks is long enough to show the work got done. It's not long enough to show how much it collects, and we won't pretend otherwise.

Some old balances come back fast. Some stores close, and some disputes are real. That's why we review results with each brand monthly: dollars collected, how days outstanding moved, and which balances are a business decision for the brand, not a reminder problem.

The Result

94 reminders went out in two weeks, and nobody on the brand's team wrote, tracked, or sent one. Every past-due store heard from its vendor, on a schedule.

The reminder that never gets sent is the one that costs you. A steady schedule, in your own name, means every store gets asked.
