The Setup

A wholesale brand selling to dispensaries had the same problem every brand has. Invoices go out of QuickBooks. Product goes out in Metrc. Nothing connects the two.

So when a store says "we never got that" or "we got 22, not 24," the brand's team has to dig. Pull the invoice. Find the manifest. Compare it line by line. On an old invoice, that can take an afternoon, and the store stops paying while it waits.

What We Did

The brand connected Metrc and QuickBooks. We matched every invoice line to the package on the manifest that carried it.

Every line on those 173 invoices matched what the manifest carried: the same product, the same size, the same count. Each one is now marked ShelfVerified, with the manifest attached.

This covered most of a year of the brand's invoices, and it was done in the first three weeks.

How It Works

ShelfVerify starts from the invoice and finds the shipment, not the other way around.

Read every invoice line

Product, size, quantity and price, from the invoice the store actually received.

Find the manifest

The outgoing Metrc manifest the store accepted, including invoices split across more than one delivery.

Match line by line

Each invoice line is paired to a package. A match is marked ShelfVerified. Anything off is flagged with the reason.

The reason is the useful part. "Short," "not on the manifest," "wrong size," "no shipment yet" and "billed twice" each have a different fix, and the brand sees which one applies before a store raises it.

What Wasn't Verified Yet

Not every invoice matched on day one, and we don't hide that. About two thirds of the brand's cannabis invoices are verified so far.

The rest fall into a few buckets. Some invoices went out before the product shipped, so they re-check when the manifest lands. Some went to stores outside the brand's Metrc account. Some need a person to look at them. We work those with the brand, one by one.

The Result

$1.3M of invoices now have the state's own shipment record behind them. When a store disputes one, the brand doesn't dig. It sends the match.

It also changes collections. An invoice with a matched manifest is hard to argue with, so the conversation moves from "did you ship it" to "when will you pay." That's the work ShelfCollect does next.

Metrc already knows what shipped. When every invoice line agrees with it, there's nothing left for a store to dispute.
